Azarra Discover Mongolia LLC

These Terms & Conditions apply to all travelers booking tours and travel-related services with Azarra Discover Mongolia LLC, Mongolia.

By booking a tour through our website, email, or any other communication channel, you confirm that you have read, understood, and agreed to these Terms & Conditions.

1. Registration & Booking Confirmation

A travel contract between the traveler and Azarra Discover Mongolia becomes effective once:

  • The booking is confirmed in writing (email confirmation), and
  • The required deposit or full payment has been received.

For tailor-made or customized tours, a final confirmation will be sent by email after all services and itineraries are agreed upon.

2. Payments

A deposit is required to confirm all bookings.

  • Private Tours: A deposit of 10% of the total trip cost per person (or a minimum agreed amount)
  • Group Tours: Deposit amount will be specified at the time of booking

The remaining balance must be paid no later than 60–90 days before the trip start date, as stated on the invoice.

Failure to complete payment by the due date may result in cancellation of the booking.

3. Services & Price Changes

The agreed services are outlined in the confirmed itinerary and booking confirmation.

Once a booking is confirmed, the tour price is guaranteed. Price changes may only occur if there are more than 6 months between booking confirmation and the tour start date and such changes result from increased transportation or operational costs.

Azarra Discover Mongolia will inform travelers immediately of any significant changes to services or pricing.

If a significant change occurs, travelers have the right to:

  • Accept the modified services, or
  • Withdraw from the contract without penalty.

4. Travel Formalities

Travelers are responsible for ensuring compliance with all travel requirements, including:

  • Valid passport (minimum 6 months validity after travel)
  • Required visas
  • Customs and health regulations

Azarra Discover Mongolia is not responsible for denied entry due to missing or invalid travel documents.

5. Cancellations & Refund Policy

All cancellations must be submitted in writing.

Cancellation fees are calculated based on the number of days prior to the scheduled trip start date:

  • 90 days or more: Deposit only
  • 89–61 days: 25% of the total trip cost
  • 60–31 days: 50% of the total trip cost
  • 30 days or less: No refund

Any non-refundable expenses already incurred (such as permits, accommodation deposits, domestic flights, or third-party services) may be deducted from the refund amount.

Refunds for international or domestic flights are subject to the airline’s own policies.

6. Cancellation by the Tour Operator

Azarra Discover Mongolia reserves the right to cancel a tour in the following cases:

  • Full payment has not been received by the stated deadline
  • Minimum number of participants has not been reached (for group tours)
  • Unforeseen circumstances or force majeure

In such cases, travelers will receive a refund or credit for unused services.

7. Force Majeure

Azarra Discover Mongolia may cancel, modify, or postpone a trip due to circumstances beyond reasonable control, including but not limited to:

  • Natural disasters
  • Extreme weather conditions
  • Political instability
  • Government restrictions

In such cases, travelers are entitled to a refund or credit for services not provided.

8. Complaints & Liability

If a traveler has a complaint during the trip, it must be reported immediately to the guide or local representative so that it can be resolved on site.

If the issue is not resolved, a written complaint must be submitted to Azarra Discover Mongolia within 30 days after the end of the trip.

Azarra Discover Mongolia acts as an organizer of services provided by independent suppliers and is not liable for acts or omissions beyond reasonable control.

9. Travel Risks & Responsibility

Travel in Mongolia may involve remote locations, long-distance travel, rough roads, changing weather conditions, and physical activities such as hiking, horse riding, camel trekking, and camping.

By participating, travelers acknowledge and accept these inherent risks and confirm that they are physically and medically fit to join the tour.

Comprehensive travel insurance covering medical treatment, emergency evacuation, and trip cancellation is strongly recommended.

10. Photography & Media

Azarra Discover Mongolia may take photographs or videos during tours for promotional and marketing purposes.

If a traveler does not wish to appear in such materials, this must be communicated in writing prior to the start of the trip.

11. Governing Law

These Terms & Conditions are governed by and interpreted in accordance with the laws of Mongolia.
